The following positions are currently available with Washington National Opera:


Title: Priority Services Assistant/Assistant to the Artistic Department

Reports to: Audience Services Manager/Director of Artistic Operations

Department: Marketing and Communications/Artistic Administration

Status: Full-time/Exempt

 

General Description

This is a split position, with the morning devoted to being the primary point of contact with high level patrons, including members of the Board of Trustees, major donors, VIPs, and artists to facilitate ticket services through personalized service. The afternoon will be devoted to artistic administration and the duties include coordinating audition schedules for solo artists and providing administrative support.

 

Duties and Responsibilities:

Ticket Sales and Audience Services

  • Process subscription and single ticket orders for members of the Board of Trustees, Medici Society and Camerata Patron Program members ($2,500+), corporate sponsors, and VIPs, including but not limited to foreign diplomats and U.S. government officials.
  • Facilitate and process ticket exchanges, upgrade services and seating arrangements for priority patrons.
  • Coordinate with the Development and Special Events department to ensure that donor requests are acknowledged.
  • Serve as the direct point of contact with artists for their ticketing requests.
  • Administer fulfillment of VIP complimentary ticketing. 
  •  Represent WNO at performances and other events when major donors or VIPs are in attendance (i.e. opening nights); work performance duty shifts at WNO Concierge Desk as necessary.
  • Member of Marketing and Communications Team
  • Proof ticket order forms, ads, and various promotional materials as needed to ensure accuracy.
  • Other duties as assigned.

Coordinate all Main Stage auditions

  • Receive all audition materials from artists and/or agents.
  • Acknowledge receipt of materials.
  • Pre-screen (in conjunction with Artistic Administration Manager) as to level of experience and determine if appropriate for WNO.
  • Determine audition dates with singers/agents with respect with to the Director of Artistic Operations’ schedule.
  • Schedule audition location within DC with WNO Scheduling Department.
  • Schedule audition location outside of DC with agents and/or other opera companies rehearsal/auditions space.
  • Schedule pianist for each audition.
  • Arrange payment method for all out-of-town audition facilities.
  • Provide agents and Director of Artistic Operations with audition details (date, place, time, order of singers).
  • Coordinate cancellations and replacements for last minute cancellations.
  • Reply to audition feedback requests and provide feedback in consultation with Dir. of Artistic Operations.
  • Update audition database.

Competitions

  • Coordinate schedule, travel and accommodation arrangements for competitions that the Dir. of Artistic Operations serves on jury.
  • Maintain file of all competitions attended.
  • Distribute pertinent notes from competitions to Artistic Administration Manager as necessary.

Correspondence/Schedule

  • Facilitate timely, outgoing correspondence (email, letter, fax) for Director of Artistic Operations.
  • Maintain daily schedule for Dir of Artistic Operations (coordinate meetings, appointments, phone calls, input all WNO performances and rehearsals etc).
  • Attend Artistic Staff meetings in order to take notes and distribute.
  • Other duties as assigned.

Qualifications:

  • One – three+ years office experience in progressively responsible positions.
  • Bachelors Degree in Arts Management or a related field preferred.
  • Excellent verbal and written communication skills.
  • Must exercise good judgment and show initiative.
  • Ability to handle sensitive data in a trustworthy manner.
  • Strong organizational skills and the ability to work independently as well as in a team environment.
  • Knowledge of computerized information systems and their applications, including Microsoft Outlook, Microsoft Office, including Access 2000.
  • Interest/knowledge in opera, music, or the performing arts.
